Getting Started with Smart Bookmarks
Overview
What Is Bookmarks?
Bookmarks is your personal reference management workspace inside Helios. Save important catalog pages, files, and references into organized collections so key information is easy to find later. Instead of scrolling through a long catalog or manual every time you need a specific section, bookmark the exact page and jump back to it instantly, organized into named collections for easy retrieval.
This feature is especially useful for teams that regularly reference specific pages in vendor catalogs, SOPs, tooling specs, or safety guides.
Who Is It For?
- Businesses - shortlist tooling references, approved products, and supplier pages your team needs to access regularly. Organize by project, machine, or job type.
- Experts - build a curated library of catalog references organized by client engagement or specialty area. Pull up all relevant references instantly during client work.
Key Features
- Save catalog pages directly from the Document Viewer
- Save files from Helios Drive
- Organize bookmarks into custom named collections
- Search across your collections from the left sidebar
- Personal - visible only to you, organized the way your workflow requires
- PageWeaver - compile bookmarked pages into a single custom PDF

- Collection - A named folder grouping related bookmarks together (for example, CNC Mill Setup, Coolant Maintenance Project).
- Bookmark Title - The label given to a saved bookmark for easy identification.
- Page - The specific page number within the document that was bookmarked.
- Document Preview - A thumbnail image of the bookmarked page shown in the bookmark list for quick visual reference.

How to Access Bookmarks
- Click Bookmarks in the left navigation panel under Productivity.
- The left panel displays all your bookmark collections.
- Click any collection to view its bookmarks in the main area.
Understanding the Page Layout
The Bookmarks page is divided into two areas:
- Left sidebar panel - Lists all your bookmark collections with their item counts. A search bar at the top lets you find a specific collection by name. The + button next to the search bar creates a new collection.
- Main content area - Defaults to Grid view (folder cards with item counts). Switch to List view using the icons in the top-right. A + New Collection button also appears in the top-right corner.
Inside a Collection
Clicking a collection opens it and shows a table with the following columns: Bookmark Title, Page (the page number within the catalog), Document Preview (a thumbnail of the bookmarked page), Document Title (the name of the source catalog), and Created Date. A filter icon lets you narrow the list, and a PageWeaver button opens all bookmarks in the collection directly in the viewer.
Collection Quick Actions
Hovering over a collection in the sidebar reveals a three-dot menu (···) with options to Rename or Delete the collection.
